Questions and answers
Who is this built for?
Indian export houses — merchant exporters and manufacturer-exporters — generally above ₹10 crore in turnover, who are still running exports on spreadsheets, mail threads and follow-up calls. It suits businesses where the owner wants to see order status without asking, and where too much operational memory sits with too few people.
We manage on Excel today. Why does that become risky?
Excel holds data; it does not connect it. Nothing links the quotation to the order, or the order to its documents and payments, so the same particulars get typed repeatedly and nothing tells you which order has stopped moving. The real risk is not the spreadsheet — it is that the context lives with a few experienced people, and the business is exposed when they are unavailable.
How is the export order connected end to end?
The order is the central record. The quotation feeds it, and the proforma, packing list and invoice are each raised from what already exists. Documents, payments, letter of credit details, shipping references and the closing bill-regulation record all attach to the same order. Open the order and the whole history is there.
What actually moves an order forward?
Both your team and the system. Steps that depend on judgement are set by your staff. Steps that follow from work already done happen on their own — raise the proforma and the order moves to its proforma step; prepare the packing list, raise the invoice, record shipping details or add the bill-regulation record, and the order advances each time.
Does it replace our accounting software?
No, and it is not meant to. It does not keep accounting ledgers, prepare returns, track stock and warehouse movements, or produce management dashboards and reports. It manages the commercial and documentary side of exporting — orders, documents, payments and closure — and gives your accounts team a clean, reliable record to work from. On tax, it records the GST numbers of your clients and vendors and carries HSN codes on your products; it does not prepare GST returns or produce e-invoices.
How are currencies handled?
You quote and invoice in your buyer’s currency. The exchange rate is fetched live at the time you enter the transaction, every amount is held in both that currency and in rupees, and the rate used and its date are saved on the document — so the rupee value behind every order is always on record.
How are documents and shipping references handled?
Documents are held on the order under the document type they belong to — the buyer’s PO, airway bills, bank acknowledgements — and can be viewed or downloaded from there. Proformas, packing lists and invoices print as PDFs.
Shipping bill and airway bill numbers and dates are recorded on the order, as are container details and a tracking link supplied by your shipping line or forwarder. Filing with customs continues through your existing CHA process, and the system does not fetch live status from carriers — it keeps your references together so nobody has to hunt for them.
Who can see and change what?
Every person has a named login and a role, and each role is granted or denied the right to view, create, edit or cancel on each screen. Those rules are enforced by the system on every action, so a user without edit rights cannot change a record even if they can see it. Editing an existing record requires a stated reason, which is kept with the record. Cancelling requires its own permission.
Do you support buying and importing as well?
Yes, as supporting capability. Purchase requisitions convert into vendor quotations, and import orders run their own lifecycle with their own Incoterms and shipment modes, with payments recorded against each order. Export is where the system is deepest.
What happens in a demo, and how do we start?
We walk a complete export order end to end on the working system — enquiry through to bill regulated — rather than presenting slides. If it looks like a fit, discovery follows: your masters, your documents, your team, and how you work today. Implementation approach and commercial terms are settled at that stage, once there is something real to base them on.
